Volunteer bookeeper, holy trinity broadstairs

Do you have an eye for detail and a few hours to spare? We’re looking for a Volunteer Bookkeeper to help manage our day-to-day accounts and support our Treasurer. If you’re comfortable with spreadsheets and want to help our church, we’d love to hear from you!


ROLE DESCRIPTION

Responsible to: The Incumbent and the PCC Treasurer
Commitment: Approximately 10 hours per month (flexible), plus aƩendance at occasional Finance Commitee or PCC meetings.


Purpose of the Role

To support the Parochial Church Council (PCC) by maintaining accurate, up-to-date financial records. You will ensure that the church’s day-to-day transacƟons are recorded correctly, enabling the Treasurer to provide clear financial reports and ensure the church remains a good steward of its resources.


Key Responsibilities

  • Data Entry: Recording all income (collections, standing orders, hall hire, donations etc) and expenditure onto our accounting spreadsheet.

  • Bank Reconciliation: Performing regular reconciliations (monthly) to ensure the accounts match bank statements.

  • Filing & Records: Maintaining an organized digital or physical filing system for receipts, invoices, and financial correspondence.


Potential Responsibilities in the future (optional)

  • Invoicing & Payments: Processing invoices for payment and issuing invoices for church hall bookings or other services.

  • Gift Aid: Maintaining records of Gift Aid declarations and preparing/submitting Gift Aid claims to HMRC.

  • Expense Claims: Checking and processing expense claims from volunteers in line with church policy.

  • Reporting: Providing the Treasurer with a monthly summary of activity to assist in the preparatoon of reports for the PCC.


PERSON SPECIFICATION

Essential Skills & Experience

  • Numeracy: High level of comfort working with numbers and basic financial calculations.

  • Software Proficiency: Being comfortable using Excel.

  • Attention to Detail: A high degree of accuracy in data entry and a "sharp eye" for spotting discrepancies.

  • Trustworthiness: Absolute integrity and an understanding of the need for confidentiality regarding donor information and church finances.

  • Organisational Skills: Ability to manage a steady stream of paperwork and meet monthly deadlines.

Desirable Attributes

  • Prior Experience: Previous experience in bookkeeping or a similar finance-related role.

  • Church Context: An understanding of, or sympathy with, the mission and ministry of the Church of England.

Support and Requirements

  • Training: We will provide an induction into our specific accounting systems and financial guidelines.

  • DBS/Safeguarding: This role requires the completion of basic Safeguarding training as per the National Safeguarding Team guidelines.

  • Expenses: Although not to be expected to be incurred, any reasonable out-of-pocket expenses will be reimbursed.

Please note: This is a "doing" role focused on the ledger. While the Bookkeeper handles the data, the PCC Treasurer remains legally responsible for financial oversight and the presentation of Annual Accounts.


Frequently asked questions

1. Do I need to be a qualified accountant? No. While professional experience is a bonus, it is not a requirement. We are looking for someone who is comfortable with numbers, highly organised, and confident using a computer. If you can manage a household budget or have used Excel, you likely have the core skills we need.

2. How much time will it really take? For a church of our size, we estimate 2 to 4 hours per week. You can usually choose when to do this work—many of our volunteers prefer a set morning at the church office or working from home on their own schedule.

3. Will I be legally responsible for the church’s money? No. The PCC Treasurer and the Trustees (PCC members) hold the legal responsibility for the church’s finances. Your role is "hands-on" support—ensuring the data is entered correctly so the Treasurer can make informed decisions.

4. What software do you use? We currently use Excel. If you aren’t familiar with our specific system, don't worry—we will provide full training and support until you feel confident.

5. Do I have to be a member of the church? Ideally but not necessarily, but you should be sympathetic to our Christian mission and values. Because you will handle sensitive information, such as donaƟon amounts, maintaining confidenƟality and trust is our highest priority.

6. Is there a "busy season"? There is i.e. January and February as we prepare the year-end accounts for the Charity Commission and the Annual Parochial Church Meeting (APCM), but typically this does not impact on the bookkeeper.

7. Will I get my expenses back? Absolutely. Although we don’t expect any, any out-of-pocket costs will be reimbursed in full.

Junior church leader, holy trinity broadstairs

Holy Trinity Broadstairs is looking to recruit someone to re-establish and lead their Junior Church group on Sunday mornings, starting ASAP. The role pays £25 per hour and requires a 2-hour commitment every other Sunday during term time, plus 1 hour prep time per session. A budget for materials etc is also available. Optional job-share with another person, and a volunteer from the church community will be available for each session.

Potential candidates must be able to encourage the Christian ethos through a fun, friendly and creative family learning environment.

ABOUT THE JUNIOR CHURCH LEADER ROLE

The Junior Church Leader will use their time and skills to develop the experience and provision for the children and young people who attend Junior Church at Holy Trinity, Broadstairs. They will lead in delivering a welcoming and kind experience for all and as such will:

  • have enthusiasm and commitment to the Junior Church, our mission and values.

  • give their commitment of time (3 hours every other week, during term time).

  • work under the direction of the Incumbent, the Churchwardens and with the support of the Parochial Church Council (Holy Trinity PCC).

  • respect all those who attend and volunteer for the Junior Church.

  • undertake training necessary for the role, including Diocesan ‘Enhanced’ Safeguarding Training.

  • be willing to undergo Enhanced DBS Screening for work with children.

PURPOSE OF THIS ROLE

Junior Church is integral to our church family. It is a space where we can serve the children and young people of our community and help guide them in their discipleship journey.

We plan to run Junior Church every other Sunday 10.00-11.00am. However, we are open to extending beyond these initially established times and settings to meet the vision we have set and we look forward to working with the new JCC to develop these ideas.


TASK DESCRIPTION

With the support of the Holy Trinity Broadstairs PCC, the new Junior Church Leader will:

  • develop, launch and lead our new Junior Church provision.

  • provide a warm and welcoming atmosphere for all children and young people as well as their families.

  • plan and run the sessions, being responsible for all planning and delivery of the sessions.

  • greet children promptly, courteously and with a smile.

  • ensure the areas used for Junior Church are clean and tidy for the start and end of the session.

  • prepare drinks and food as required.

  • be familiar with the risk assessment and health and safety requirements; putting the safeguarding and welfare of children at the heart of the sessions.

  • assist with the clearing away of tables, chairs and washing up.

  • be familiar with Christian practise, ideally with a knowledge of Christian religious teachings and bible stories.

  • help to promote the Junior Church within the local community.

  • undertake any other tasks as requested or appropriate within the nature of the role.
